Questions on CAFO2021 & COVID

Where is the CAFO2021 Summit?

Cincinnati Vineyard Church
11340 Century Cir E, Springdale, OH 45246

Can I join CAFO2021 Virtually?

Yes! See the CAFO2021 Virtual Package available here.

If you’d choose to transfer your in-person registration to virtual, you can email us at summitinfo@cafo.org and we’ll let you know how to do that.

Virtual rates and packages are only available for individuals, no group rates or discounts.

Are you looking for CAFO2021 Volunteers?

YES! Every year a mighty team of volunteers provides hospitality, direction, and helping hands to the CAFO2021 Summit.  Each year, the volunteers’ service, heart and smile shapes the experience of the attendees.    Whether you are the ideal people person, expert behind the scenes runner, chief organizer or strong box-lifter, there is a place for you!  Will you join the team?
Who can volunteer?  Volunteer slots are filled by all ages, beginning with responsible older students to all seasons of adulthood.
If I’m a volunteer, do I have to pay to attend?  No!  Registration is our gift to full-time volunteers.
How many volunteer hours are requested to receive free registration?   Each volunteer will be assigned to a particular volunteer team for the slots he/she is available.   We ask volunteers to be available to their team for any days they are on-site.  While we consider volunteer an all-in experience, each role has multiple “free times” throughout the day where volunteers can join any Summit session.

What precautions are you taking regarding Covid-19 at this event?

The safety and health of everyone at CAFO2021 is a top priority.

At present, we remain confident that we are in store for a wonderful time WITH each other in September!  We’ve learned nothing can replace the treasure of being together in person…and we truly can’t wait.

CAFO continues to closely monitor the status of COVID along with state and CDC guidelines.  We are working with our tremendous host church and local officials to take all measures needed to minimize any risks.

While situations continue to evolve, we anticipate that on-site at the Summit:

  • We will encourage all participants to understand and seriously consider all current CDC recommendations.  Currently, the CDC guidelines recommend that all people wear masks indoors in regions with high transmission, which includes Cincinnati.
  • We will ask all participants to fully comply with local mandates.

We plan to take temperatures of guests and brief symptom surveys upon check-in, along with other safeguards.

In all of this, we encourage all CAFO2021 participants to apply common sense measures:  stay home if you don’t feel well, wash hands frequently, and consult with your health care provider with any questions.

Each of us today have unique situations and feelings about these matters.  In the CAFO community, there is much grace and understanding for all.  While we would love for all of us to be together for CAFO2021, each must proceed based on their own sense of wisdom and comfort levels.  Our deepest desire is to see you thriving in body, mind and spirit, rooted deep in the love of God.

For those unable to join in person, the virtual package is available.  You can now secure your registration, charge up your laptop, and enjoy a window into CAFO2021 from your home.

Whatever the future holds, we are confident in the One who holds it…and we look forward with joy to experiencing it with you!

Can I get an invitation letter to assist with my international travel?

The global COVID pandemic has made international travel very difficult and limited for any global leaders hoping to travel to Collaborate and/or CAFO2021 Summit in September 2021:

  1. Only global leaders with current active US visitor visas are eligible for travel to the US right now.
  2. US Embassies are not processing visitor visas and have not made any statements as to when they will resume normal processing.
  3. Travel from (and transit through) over 30 countries is prohibited from entry into the US by Presidential Proclamations.
  4. The CDC’s guidelines for any travelers is to quarantine for 7 to 10 days and test AFTER entry into the US.

As a result of all of this, CAFO is not offering any invitation letters for global guests this year. Also, CAFO is not offering housing assistance/hosting for any global guests this year.

For more details, click here.

Will space be limited at CAFO2021?

Yes.  Once the number of available registrations have been filled, we will need to cut off registration.  If you hope to come, please do not wait to register.   You can register now with the peace of mind that if cancellation is needed for any reason, a full refund will be available to you up until August 1st.

Is there a reason for more than one person from a church to attend?

Many churches prefer to have more than one person attend the CAFO Summit. With the broad range of concurrent workshops, multiple attendees can take home a fuller range of information. Many ministries use conference networking and meal breaks to begin shaping a plan and ideas for further ministry once they return home. In addition, two or more attendees often return home with a deepened relationship and vision that can form the foundation for future ministry.

Is this conference best suited for church leaders, lay leaders, nonprofits or foster/adoptive parents?

All of the above! Workshops will include themes specifically designed for pastors, laymen, Christian orphan care non-profits, and individuals looking for more information on orphan care and ministry.

Are children allowed to attend?

We ask that children (excluding infants) under the age of 13 not attend unless with parental supervision.  The program is not designed for young children.  Mature youth with a heart and vision for ministry may register at the special student rate.  Due to factors related to space limitations and health safety precautions, there will be no KIDS Summit this year.

Are there audio & video recordings available?

Yes!  General Sessions and most workshops are audio recorded and available for purchase. (Member-only workshops recordings are not available.) General sessions may also be available on video.

Download cards are available in advance as you register and are also sold on-site.

Does my audio download card expire?

Your card code does not expire.

However, once you enter the code on the website below, you have 90 days to redeem the credits.  We suggest you use all your credits at once.

Visit the CAFO Summit Recordings Store

What does the registration fee cover?

The registration fee covers admission to all General Sessions & workshops, conference materials, snacks, Thursday lunch and coffee each day.

Are any discounts available?

Yes! A discounted rate is available for any CAFO member or member applicant ($50 off). This discounted rate includes any individual, church, or organization that applies for membership. See more about membership here.

Can I attend only the General Sessions?

Due to the new format of the Summit sessions, we do not offer the option of attending only the General sessions. However, you can watch the General sessions live during the Summit by tuning in online. You can also visit the CAFO store after the Summit to purchase a video recording of each of the general sessions.

Should I register if I am still uncertain about gathering and travel?

You can register now with the peace of mind that if cancellation is needed for any reason, a full refund will be available to you up until August 1st. Refund requested after August 1st or non-attendance will not be refunded.

If I registered for CAFO2020 and was given a discounted registration to CAFO2021 --can I apply that now?

Yes!  If you had a CAFO2020 registration, your revised 2020 package included ½ off the CAFO2021 Summit.  You will receive a code via email to use when you register.  If you have not received that code by March 1, 2021, please email summitinfo@cafo.org.

I've already registered, how do I make changes or add to my existing registration?

When you registered, the confirmation email you received has a link to edit your registration. However, you can also make updates by visiting here and following the instructions. If you have further registration questions or are having trouble editing your existing registration, please email summitinfo@cafo.org.

I've registered but am not able to attend. Can I transfer my registration to a friend or colleague?

We’re sorry to hear you’re unable to join us this year! You can certainly transfer your registration to someone else. Simply fill out the Summit Info request form below and a team member will follow up with you to edit the registration. The new registrant will be sent a confirmation email with the QR code for on-site check-in.

I missed the early bird registration deadline, can I still receive the discount?

Unfortunately, no. But you can certainly use a membership discount code if you are a current member or you may apply today. See more about membership here.

I haven’t registered for workshops. How do I do that?

We’ve tried to make CAFO Summit registration as simple as possible. There is no need to register for most workshops in advance.  Feel free to attend any workshop open to general attendees! To help you prepare for your time at the CAFO Summit, we would encourage you to visit the schedule page where you can build your own schedule and have it emailed to you.

CAFO2021 Schedule Here

Will my "Build Your CAFO Experience" schedule be available on-site?

If you “build your experience” on the schedule page, a copy of your selected schedule is immediately emailed to you. This is for your personal use and we advise to print it out so you can reference it on-site. Unfortunately, these will not be available on-site.

Can I cancel my registration?

Attendee Cancellation Policy

A cancellation refund may be offered if the registrant requires medical treatment for an illness at the time of cancellation resulting in medically imposed restrictions, as certified by a legally qualified physician or in the event of a death in the family and if the cancelation request is provided (30) days prior to the event (“cancelation cut off date”).

If approved for a refund, all funds will be returned minus a $35 fee to cover expenses related to your cancelled registration.

No other refunds will be offered.

Please remember that canceling your registration does not automatically cancel your hotel and travel arrangements. Attendees are responsible for canceling their own hotel and travel reservations.

Force Majeure

After the cancellation cutoff date, payments made are not refundable for any reason, including, but not limited to, failure to use conference attendance credentials due to illness or due to any event beyond the reasonable control of the parties, such as an act of God, a health epidemic, natural disaster, travel-related problems, an act of terrorism, or other unforeseeable circumstances beyond the control of the CAFO against which it would have been unreasonable for the CAFO to take precautions and which CAFO could not have avoided even using its best efforts.

How do I get from the airport to the hotel?

Please make your own ground transportation arrangements. There is no coordinated event transportation to and from airports or hotels. See our travel discounts for special rates on hotels, rental cars and airfare.

Where do I stay?

Special conference rates are available at designated area hotels. Please contact the hotel directly to make your reservations. All lodging information and links for special rates are available on the conference lodging page.

Where can I get driving directions and a map?

Cincinnati Vineyard Church
11340 Century Cir E, Springdale, OH 45246

How can I coordinate my travel with others in my area?

The CAFO Facebook page is available to post questions and look for others who may be traveling from your area.

As an international guest, how do I request an invitation letter?

As COVID-19 continues to impact international travel, we are currently making plans to be with Global Network leaders for Collaborate and CAFO2021 in a virtual format.

US Embassies are not currently processing visitor visas and it is unclear when their normal visa processing will resume. As a result, CAFO is not offering invitation letters to Global Network leaders for this year’s event.

Any Global Network leader with a current valid visa who is interested in attending Collaborate and CAFO2021 in person should email global@cafo.org. While we are saddened to not gather in person with our global leaders, we are looking forward to a rich experience together virtually.

What meals are included with my registration?

Lunch on Thursday, September 16th is included in your registration. Lunch is also included for most pre-summit intensives. (The notes for each intensive describe what is included).  Please enjoy plenty of local dining out options during the dinner break!  No dinner will be available on-site this year.

If you need additional nourishment throughout the conference, please bring along extra water and snack.

Do you offer gluten free meal options?

Yes. When registering for the conference, please indicate if you need a gluten free lunch.  Gluten free lunches can be picked up at the conference Help Desk.
